Countdown to Hershey

The official countdown to the big Hershey show has begun here at AACA National Headquarters. There are only 69 days between now and the first day of Hershey 2024! It will be here before we know it, which is why everyone here has started their own checklists of things that need to be done before all of you arrive. From trophies to merchandise to press releases to the AWESOME Library Yard Sale, all of your staff are working hard to make sure we are ready for you. During this time there are also lots of extra phone calls and emails with all kinds of questions about the event. The Hershey Region volunteers are diligently assigning flea market and car corral spaces, as well as inputting show car registrations into the computer. Packing trailers and preparing the show grounds won’t start happening until September, but it’s on everyone’s lists here.

 

Do you have a Hershey checklist?

If not, now would be a great time to create one so you don’t forget anything!

 

The National Headquarters staff and I took some time to put together a Hershey checklist for you utilizing both our years of attending the event and the questions we are asked about over and over again. I’m sure your checklist may have some of these same items on it, but we’re hoping you might find a few things you may want to add to yours.

 

-- Book a place to stay. (Still need a place? See the Hershey Lodge room offer in one of the articles below!)

-- Register a car for the Friday show BEFORE August 15. (Do you need trailer parking? Banquet tickets? They are on the same car registration form!) 

-- Send in paperwork & payment to secure flea market and/or car corral spots BEFORE August 15.

-- Prepare your show car, car corral car and pack up all of your flea market items.

-- Ready your transportation to and from Hershey and map out the best routes to follow.

-- Don’t forget your paperwork and vehicle sticker (car corral and flea market). Happens EVERY year to someone!!

-- Pack clothes for every weather occasion possible… winter coats, sweatshirts, ponchos, tank tops, shorts, jeans… you need to be ready for anything… Hershey week weather is always unpredictable.

-- You will need the most comfortable and supportive walking shoes you own – we highly recommend sneakers – and maybe bring more than one pair in case they get wet or worn out from so much walking. That goes for socks, too!

-- Hats, hats, hats!! We cannot stress this enough – baseball, winter, safari with the flap to protect your neck, etc. (Don’t worry if you forget though – the AACA merchandise tents will have plenty for you to pick from!)

-- Sunglasses, suntan lotion, umbrellas and galoshes… again, you never know what kind of mood Mother Nature will be in that week.

-- Pack some snacks and water just in case you get lost in the flea market, but don’t worry, there will be lots of food vendors as well so you should not have a problem finding something to eat.

-- Make sure to bring a cart, wagon, large messenger bag, etc. to tote around all the stuff you buy. AACA also sells these things onsite in case you forget or need a second one!

-- Speaking of stuff… do you have your shopping list of parts/things you need to finish or start your projects?

-- A fully charged cell phone is a must every single day you are here for emergencies, negotiations with your spouse and to make dinner plans.

-- Bring your appetite for Hershey’s – you will be spending 4 days in Chocolatetown U.S.A. after all. 

-- Don’t forget your $$$$!!!!

-- Be sure to buy a program on the first day and find someone to help you read the maps, so you can plan your flea market adventure. Programs sold out early last year!

 

The last things you should pack are your patience, excitement and love of old cars. The Hershey show is already shaping up to be another great AACA event and we are looking very forward to your arrival!

The Historic Virginia Peninsula Region (HVPR) invites you to join them as they beat the August heat and weather worries on the air-conditioned show field inside the Hampton Roads Convention Center. That’s right – you read that correctly! The Special Eastern Fall Nationals show will take place inside! There will be plenty of room for up to 235 show cars, plus vendors, merchandise, and activities. The convention center boasts 300,000 square feet of indoor space. The host hotel, trailer parking, registration, Judging School, Judges Breakfast, and the awards banquet will all be at one location.

Summer registration is happening RIGHT NOW for the Hershey flea market, car corral and show vehicles.To acquire space(s), you must request a registration card from AACA National Headquarters. Because we are getting close to the registration deadline, please call us ASAP at 717-534-1910. We will send you your registration forms immediately. We recommend that you fill out your registration card(s), write your check and mail everything back to the Hershey Region immediately so that you do not forget/ lose it/ miss the August 15 deadline.  

 

With a show as big as Hershey, there are a lot of moving parts for our Hershey region volunteers to coordinate. Please help us by reviewing this important information:

 

1. On the Show Car/Special Events registration card that you request from National Headquarters you can also choose to receive awards banquet tickets and/or antique car trailer parking reservations.

2. SHOW CAR REGISTRATION ONLY: You may register online here right now. NEW this year, you can pay for your show car registration online with a credit card. You can also still print the registration form and submit it along with your check to Jill Bower, Hershey Region AACA Show Car Chairman, 1015 Kunkles Mill Rd, Lewisberry, PA 17339.

3. There is a $20 parking fee for show car trailers parking on Boathouse Road. The fee covers the period of Tuesday, October 8, at 7 a.m. through Saturday, October 12, at 12 p.m. All vehicles must be removed by 12 p.m. Saturday or they will be towed per order of Derry Township Police.

4. You must return the completed registration card and check to Hershey Region.There will be a pre-addressed envelope enclosed in the packet that you request from National Headquarters. PLEASE read all of the information that accompanies your registration card(s).

5. Cards/checks not signed will be returned for signatures and could jeopardize your request for space(s).

6. If you have a special location request, you should send a note along with your flea market or car corral registration card. Spaces are assigned by the postmark on the envelope. You can ask for your check to be returned in the event we cannot fulfill your request. If you will accept spaces anywhere, you need not send any note. (NOTES written on registration cards will not be honored and you will be assigned at the discretion of the field chairman.)

7. Please read ALL accompanying information that will be enclosed with the registration card(s) you receive from National Headquarters. Your signature on the card confirms you have read, understand and will obey AACA and Hershey Region rules and regulations.

8. Please pay close attention to the firm postmark deadline of August 15 on the registration card. We need ample time to make assignments, enter the data and send the information to our printer. There is a very short lead time to accomplish this task.

9. TO RESERVE & RENT A SCOOTER OR GOLF CART: ScooterBug has been contracted for the 2024 Hershey show to provide pre-reserved, single passenger ECVs and double occupant golf carts for those guests who have a valid, state-issued driver's license & handicapped placard in the state in which you reside. Guests can pre-reserve this mobility equipment online at www.scooterbug.com/aaca (preferred) or call 800-726-8284 directly to reserve.  There are NO refunds under any circumstances once the payment is received and equipment is reserved. (NOTE: Personal mobility vehicles are not registered by ScooterBug personnel.)

10. YES, YOU CAN BRING YOUR OWN SCOOTER: Personal electric mobility vehicles are authorized; however, they must be registered at one of the three registration areas. More information will be available in the literature you receive with your registration card.

11. Flea market and car corral windshield stickers and other important information will be mailed at the end of August. 

12. SALES TAX LICENSE: If you do not have a sales tax license, you can apply online at mypath.pa.gov or call 717-783-1405. Do not use the old pa100 website as it has been discontinued. If you need more information, visit our website at hershey.aaca.com. IMPORTANT: DO NOT wait for your tax license number to arrive. Send your flea market registration card and check to the Hershey Region and simply write "applied for" above the Tax ID space on the registration card.

Important 2024 Hershey Reminders

Show will run Tuesday, October 8 through Friday, October 11

Flea Market set-up will be Monday, October 7

Judging School will be Thursday, October 10, at 2 p.m.

Judges Breakfast will be Friday, October 11, at 7 a.m.

Car show will be Friday, October 11

Special Room Offering for Hershey 2024 Still Available

RM Sotheby’s has secured an introductory rate of $289 + taxes at the Hershey Lodge for October 6-11, 2024, which is over $100/night cheaper than their website is offering right now and as we all know, rates tend to go up the closer we get to the event! This deal is currently available to us with no deposits, free changes, and free cancellation up to 72 hours before arrival. These rooms will go fast, so book early! Help us keep the Lodge as a great place for attendees to enjoy the auction and all that happens there during Hershey week. We need to fill the hotel with AACA members and guests!

At the Center of it All: Volunteers Needed for Hershey!

We’re only a little more than 2 months away from our favorite week of the year! The Eastern Fall Nationals will be here before we know it, and the library team has spent the last couple of months planning this year’s activities. For those who’ve attended Hershey in the past, you know that the week doesn’t come together without a lot of help from those willing to volunteer. 

 

There are several opportunities to support the library with your time during Hershey week. We’re open Monday – Thursday providing research services and need volunteers to “work the doors” by greeting visitors, reminding them to place personal items in our lockers, collecting ID cards, and helping library staff manage the flow of people into the library’s Reading Room. Most days that week we open at 8 a.m. and close at 4 p.m. (Tuesday we’ll close at 2 p.m.), so we’ll need volunteers to help fill 2-hour shifts throughout each day. 

 

Speaking of the Yard Sale, it’s all hands on deck! In response to comments from last year regarding the long wait times for lines to get into the tents, we will be implementing some new procedures to help ease that issue. But more convenience for attendees means more hands are needed to help make it happen! The Yard Sale provides TWO great opportunities to help: bring your muscles and join the morning set-up team starting at 8 a.m. on Tuesday or come later around 3 p.m. to help work the event itself (which starts at 4 p.m.). We’ll need volunteers in the tents and at the entrances, managing the lines, helping with checkout, directing attendees to the different areas of the event, and helping clean up when it’s all over. Yard Sale night is full of excitement, enthusiasm, the thrill of the hunt, catching up with friends, and having fun with library staff…working the event places volunteers right at the center of it all! 

 

Members interested in volunteering at the library during Hershey should contact Matt Hocker at mhocker@aaca.org or 717-534-2082. Let him know if you want to volunteer in the library that week, or at the Yard Sale on Tuesday night, and he’ll get you signed up for a shift. 

 

Remember that the library is CLOSED on Friday for the car show – we’ll be out on the field with books for sale (weather pending!), so the headquarters building will not be open for the public that day.
