On the Fall 07 Rummage Box thread, I promised Wayne I would write up something on the STYLES feature in Publisher, which allows you to apply a set of formatting options to an article with the click of one button.

If you have any problems or it just doesn't make sense, please let me know and I will try again. For some reason even the simplest thing becomes complicated with you try to write a set of instructions. ;\)

The use of the STYLES feature in Publisher allows you to apply a set of formatting options to an article with the click of one button. With On the Road, Again, the newsletter of the Brass-Nickel Touring Region, I basically have 4 styles defined – caption, heading, sub-heading, and text. Let’s see how we define these styles.



1. Go to FORMAT and choose STYLES. A dialog box will open to the left of the publication you are working on.
This is divided into several sections.

Note: If you forgot to use the PASTE SPECIAL when importing an article, you can highlight the article and then click CLEAR FORMATTING and all the formatting will be removed with the click of one button.


In this section, you will see a list of formatting styles that have already been defined for you and can be applied to the article. Try applying different ones to an article you are working on and see the effect. You can always undo it by applying CTRL+Z or go to EDIT- UNDO.

You could modify one of these pre-defined styles but I prefer to define my own. To do that, click on NEW STYLE and the NEW STYLE dialog box will open.


2. This is where you will define your formatting options.



First, pick a style name. I choose TEXT as this will be formatting for all the articles in my newsletter.

Now, click on the BUTTONS listed under CLICK TO CHANGE to define your formatting options.


FONT – defines the font you are going to use along with font style, size, underline, color and effects.

CHARACTER SPACING-has to do with either the stretching or shrinking of your text, tracking and kerning.

PARAGRAPH defines your justification, indentation, and line spacing.

BULLETS AND NUMBERING lets you choose what bullet and/or numbering system you are going to use.

HORIZONTAL RULE is where you can define the appearance and position of any horizontal rule that might appear before or after your paragraph.

TABS are where you can set the tabs along with alignment and leader.

I generally only set font and paragraph. In this example, the style TEXT is set to the 10 pt. font Georgia, the paragraph is justified with a spacing of .028” after the paragraph. Define as many styles as you want or need.



3. Now that your styles are defined, what’s next?


First instead of seeing all the styles that are defined, I prefer so see only those styles I am using. Change the setting from ALL STYLES to STYLES IN USE.


Let’s say that you have imported a Rummage Box article using the PASTE SPECIAL – UNFORMATTED TEXT. The article does not appear like you want it to. So, highlight the article by either CTRL+A or EDIT – SELECT ALL. Go to the STYLES dialog box and click on TEXT. The imported article that you highlighted will now be formatted the way you wanted it. Easy wasn’t it?

Note: If your headings are not in a separate text box, you will have to highlight the selected heading text and click on HEADING.

4. With the click of just a few buttons you can format a complete article all at once instead one paragraph at a time. And if you have defined a set of styles that you like, you can import them into a new document by clicking on the IMPORT STYLES button located under the SHOW button. And if you want to change the look of an issue, you can do it by just re-defining your styles and all articles using that style will change.
